This Acceptable Use Policy establishes the rules and standards for the proper use of Guidance Connect. It is intended to promote a secure, reliable, and professional environment for administrators, counselors, staff, and clients.
2. Authorized Use
Guidance Connect may only be used for legitimate guidance, counseling, appointment management, administrative, and educational purposes authorized by your organization.
Users must access only the information and features necessary to perform their assigned responsibilities.
3. User Responsibilities
Users are responsible for maintaining the confidentiality of their account credentials and ensuring that all information submitted through the platform is accurate and up to date.
Users should immediately report any suspected unauthorized access, security incidents, or system vulnerabilities to the system administrator.
4. Prohibited Activities
Users must not engage in activities that compromise the security, availability, or integrity of Guidance Connect, including but not limited to:
- Accessing accounts, records, or information without authorization.
- Sharing usernames or passwords with other individuals.
- Attempting to bypass security measures or access restrictions.
- Uploading malicious software, viruses, or harmful code.
- Modifying, deleting, or altering records without authorization.
- Using another person's account or impersonating another user.
- Using the system for unlawful, fraudulent, or abusive activities.
- Interfering with the normal operation or performance of the platform.
- Attempting to test, scan, or exploit system vulnerabilities without written authorization.
5. Confidential Information
Counseling records, appointment information, client information, and other confidential data must only be accessed by authorized personnel for legitimate professional purposes.
Users must not disclose confidential information to unauthorized individuals unless required by law or authorized by the institution.
6. Account Security
Users are responsible for safeguarding their login credentials. Accounts must not be shared, transferred, or used by anyone other than the registered account holder.
7. System Availability
Users must not intentionally disrupt, overload, or interfere with the availability or performance of Guidance Connect or any connected services.
8. Monitoring and Enforcement
To maintain system security and integrity, authorized administrators may monitor system usage, investigate suspected misuse, and take appropriate action when policy violations are identified, subject to applicable laws and institutional policies.
9. Policy Violations
Violations of this Acceptable Use Policy may result in temporary or permanent suspension of access, administrative action, or other measures deemed appropriate by the organization, including legal action where applicable.
10. Changes to this Policy
Guidance Connect reserves the right to update this Acceptable Use Policy at any time. Revised versions become effective upon publication within the platform. Continued use of the system constitutes acceptance of the updated policy.
